At Aria Dermatology & Aesthetics, our policies are designed to respect your time, ensure high-quality care, and allow us to provide unrushed, attentive visits for every patient. We appreciate your understanding and cooperation.

Complete Your Forms Ahead of Time (via Klara)
For your convenience, all patient forms are sent electronically through Klara prior to your appointment.
We strongly encourage patients to:
Complete all required forms before arriving
Review and update medical history, medications, and insurance information through Klara
Completing paperwork in advance allows us to focus fully on your care and helps keep appointments running on time.

At Aria Dermatology & Aesthetics, we value your time—and the time of every patient on our schedule.
Patients who arrive more than 10 minutes late to their appointment may not be seen.
In some cases, we may offer the option to wait until a gap becomes available in the schedule; however, this cannot be guaranteed.
If we are unable to accommodate you, your appointment will need to be rescheduled.
This policy allows us to provide unrushed, high-quality care to every patient.

We kindly ask that patients provide at least 48 hours’ notice for appointment cancellations or rescheduling.
Late cancellations or missed appointments may be subject to a fee.
This policy applies to all appointments, including medical and aesthetic visits.
Providing advance notice allows us to offer appointment times to other patients who may be waiting to be seen.

Appointments missed without notice may result in a no-show fee.
Repeated no-shows may require prepayment or limit future scheduling to same-day appointments only.
These measures help us maintain access and availability for all patients.

Most cosmetic consultations carry a consultation fee of $150.
When applicable, this fee will be communicated at the time of scheduling.
The consultation fee may be applied toward the purchase of medical grade skin care or treatment if performed the same day or within a specified timeframe.
This policy helps protect physician time and ensures thoughtful, personalized treatment planning.

Payment is due at the time of service, unless prior arrangements have been made.

Debit cards
Other approved payment methods (as communicated by our office)
For cosmetic and aesthetic services, payment is typically required in full prior to treatment.

To help ensure efficient and seamless care, Aria Dermatology & Aesthetics requires a valid credit card to be securely kept on file for all patients. A card on file allows us to process copayments, deductibles, coinsurance, or balances that remain after insurance processing, as well as late cancellation or no-show fees when applicable. This policy helps reduce administrative delays and keeps appointments running smoothly. All payment information is stored securely, and cards are charged only for documented balances or fees in accordance with our office policies.

Due to the personalized nature of aesthetic care:
Cosmetic and aesthetic services are non-refundable.
Retail skincare products may be eligible for return or exchange within a limited window, subject to product condition and manufacturer guidelines.

For patients under the age of 18:
A parent or legal guardian must accompany the minor to the appointment.
All required consent forms must be completed in advance by the legal guardian.

Clinical photography may be taken as part of your medical record to document diagnoses, treatment planning, and outcomes.
These images are used solely for clinical purposes unless additional consent is provided.
Separate, written consent is required for any use of images for marketing, educational, or promotional purposes.
Your privacy is always respected.

Please silence cell phones during visits.
Audio or video recording of appointments is not permitted without explicit consent from all parties involved.
How to Use Klara Before Your Visit
At Aria Dermatology & Aesthetics, we use Klara to streamline communication, paperwork, and appointment preparation—making your visit more efficient and personalized.
What Is Klara?
Klara is a secure, HIPAA-compliant messaging platform that allows you to:
Complete intake and consent forms
Update medical history and medications
Upload insurance information
Receive appointment reminders
Communicate directly with our office
Before Your Appointment: What to Do
Once your appointment is scheduled, you will receive a Klara message with a link to your patient forms.
Please complete the following at least 24 hours before your visit:
Patient intake forms
Medical history and medication list
Insurance information
Required consent forms
Completing your paperwork ahead of time allows your provider to review your information in advance and ensures your appointment runs on time.
Day of Your Visit
If all paperwork is completed in Klara, you may arrive at your scheduled appointment time.
If forms are incomplete, new patients should arrive 10–15 minutes early to allow time for check-in.
Patients who arrive without completed paperwork and insufficient time to complete it may need to reschedule.
